Three businesses, one system

Most HVAC companies are running two or three businesses at once

Residential service, commercial contracts and new construction have different customers, different billing and different clocks. Running them in separate tools is where the reporting stops making sense.

Residential HVAC is decided by who answers

A homeowner with no cooling in August is calling down a list and booking the first company that offers a real time. Everything else in a residential business, the memberships, the replacements, the reviews, follows from whether somebody picked up.

24/7 answeringEvery call, text and web chat answered on the first ring, at any hour, including all of them at once.
Online bookingHomeowners who would rather book at 11pm than talk to anyone get a real slot, not a callback request.
Maintenance membershipsPlan visits scheduled into shoulder season, renewals worked, expiring cards handled before the plan lapses.
Replacement estimatingGood-better-best built in the home with financing, delivered before the van leaves the driveway.
Equipment historyModel, serial, age, refrigerant and every past recommendation held on the property, not the job.
DispatchThe engine reads the whole board and places the job, then re-solves the day when one call runs long.
Invoicing and paymentVoice notes become the job record, the invoice goes out on site and the card is taken at the door.
Follow-up and reviewsUnsold estimates re-engaged automatically, review requested while the house is cool again.
Equipment memory

The money is in what the last technician wrote down

A fourteen-year-old condenser with a failing fan motor is a replacement conversation, not a repair ticket. But only if somebody knows it was already flagged and declined in June.

In Notifi the equipment record sits on the property rather than the job, so it survives the technician, the season and the software. That history is the difference between quoting a $410 repair and selling a $4,200 replacement with the reason already on the page.

Your busiest week decides your year

HVAC demand does not arrive evenly. It arrives in a hundred-degree week when every line is ringing and every technician is already booked, and no HVAC company staffs an office for that week.

Iris is the AI operator inside Notifi. On the week that decides your year she answers every call at the same time, so the peak is absorbed instead of queued.

Every call at once, not in a queueSimultaneous answering, so the tenth caller is not waiting behind the ninth.

Questions

HVAC software, answered

What is HVAC management software?

HVAC management software runs the operating side of a heating and cooling business: taking the call, booking the job, scheduling and dispatching technicians, holding equipment history, producing estimates and invoices, and taking payment. Notifi does all of that with an AI operator, Iris, handling the front office so calls are answered and booked without a person having to be free.

Does Notifi handle residential, commercial and new construction HVAC?

Yes, in one system. Residential memberships and card payments, commercial service agreements billed against a purchase order, and construction projects billed in draws against phases all run side by side. Most HVAC companies do at least two of the three, and running them in separate tools is where the reporting falls apart.

Can Iris really answer calls during a heat wave?

Yes, and it is the case the product is built for. Iris answers every inbound call simultaneously rather than queueing them, so a hundred-degree week does not turn into a voicemail box you work through on Monday. She qualifies each one, books what the day can genuinely hold, and puts the rest into tomorrow.

How does Notifi track equipment and refrigerant?

Equipment sits on the property rather than on the job, so model, serial, install date, refrigerant type, service history and every past recommendation follow the unit across every visit and every technician. That history is what turns a fourteen-year-old system with a failing part into a replacement conversation instead of another repair.

Does it handle maintenance agreements?

Yes. Notifi tracks agreement terms, which visits are due, renewal dates and card expiry, and it schedules tune-ups into shoulder-season capacity rather than leaving them to be chased. Most membership attrition is administrative rather than a service problem.

Will it work for our commercial service contracts?

Yes. Agreement response times shape dispatch priority, preventive maintenance generates its own visits per asset per site, and purchase order and not-to-exceed rules are surfaced to the technician on site so invoices are not rejected a month later.

Is anything sold as an add-on?

No. Notifi is one platform with no add-on modules. Adding CSRs, dispatchers and technicians does not change the bill, which is deliberately the opposite of how most field service software is licensed.

How long does implementation take?

Most HVAC companies are fully live in four weeks, including customer and equipment data migration, configuration of your services, pricing and service areas, and training. No systems integrator is required.

Does it work with our accounting software?

Yes. Invoices, payments and customer records sync to your accounting system so the office is not entering the same job twice.

The whole platform

Everything a HVAC business runs on, in one system

Notifi is not an add-on bolted to something else. Scheduling, dispatch, the technician mobile app, GPS tracking, the price book, estimates, job costing, invoicing, payments, reporting are one platform, on one customer record.

Front office
CRM and customer historyEvery customer, property, HVAC job, call recording, message and estimate on one record, so nobody starts a conversation from nothing.
Call tracking and attributionWhich marketing spend produced which booked job, tracked from the call through to the invoice.
Customer portalCustomers view appointments, approve estimates, pay invoices and see their HVAC history without calling the office.
Reviews and follow-upReview requests sent at close-out, and unsold estimates re-engaged rather than left to go cold.
In the field
Technician mobile appThe whole job in the technician's hand: history, equipment, checklists, photos, forms, estimates and payment, offline capable.
GPS and technician trackingLive technician location and travel time, so dispatch can see the day rather than phone around for it.
Job history on the propertyCondensers, coils, capacitors and refrigerant tracked across every van and warehouse, against what the job needs and consumed as it is used.
Price bookYour HVAC pricing and margins, presented as good-better-best replacement options with financing on the tablet, not worked out on a notepad in the driveway.
Sales and money
Estimates and proposalsMulti-option proposals with financing, built on site and converted to a job the moment the customer accepts.
Invoicing and paymentsInvoice built from the work performed, card taken at the door, deposits and progress billing where the work needs it.
Job costingLabour, materials and overhead against every HVAC job, so you know which work actually makes money.
Accounting syncQuickBooks and other accounting systems kept in step, so the office is not entering the same job twice.
Running the business
Scheduling and dispatchThe engine reads skills, capacity and the whole board to place a job, then re-solves the day when one runs long.
Reporting and dashboardsRevenue, conversion, capacity, response times and technician performance in one view, not eight exports.
Purchase ordersMaterials ordered against the job, received against the PO and costed back to the work.
Time on the jobJob time and travel captured from the mobile app, so what a job actually took is on the record.
